Cycle Club Tent Application

SuperSprint Events would like to invite your Cycle Club to become a part of the excitement of our 2nd annual Degani Kinglake Ride on Saturday 13th September 2009 in Whittlesea.

The event is a fun filled day and quite a spectacle. It also provides Clubs with the opportunity to expose themselves to a large sector of the cycling market. We look forward to having your club participate in our event and providing a safe, fun and well-organised event for your enjoyment.

SuperSprint welcomes all cycle club tents at our events where there is sufficient area at the venue to enable them to be set up.

To ensure the safety of all participants, spectators, marshals, staff and the general public, the following Terms & Conditions must be complied with and agreed to prior to setting up a tent at our event. Occupational Health and Safety as well as Risk Management and enforcement of safety standards are key aspects of event management that SuperSprint value very highly. Non-compliance will result in clubs being requested to remove their tent from the venue.

For your club to be eligible for a tent site at an event, the club must have at least 10 participants in that event. To book a site you must send through an Application Form and reconfirm by phone the week of the event. Clubs must also set up the day prior to the event, securing their site correctly and provide all their own equipment (star pickets, cable ties, etc). Please view the conditions below for specific details on site requirements.

Cycle Club Tents (Marquees) at SuperSprint Events - Terms & Conditions

  1. To qualify for a site allocation at the Degani Kinglake Ride in Whittlesea on Sunday 13th September 2009, a Club will have to satisfy the following conditions :
  2. A minimum of 10 registered members from the Club in question must have entered into the Event.
  3. Clubs need to provide the Operations Manager with a completed Application Form at least 2 weeks prior to each event.
  4. Priority will be given to clubs that book first & fulfil our requirements above.
  5. Clubs must also call the Operations Manager between Monday & no later than Wednesday from 9am – 4pm the week of the event to reconfirm their attendance. Failure to reconfirm may result in your tent space being given to another club.
  6. SuperSprint reserves the right to disallow a club to set up their tent where there is inadequate space.
  7. All tents MUST BE SET UP ON THE DAY PRIOR TO THE EVENT between 8am – 4pm. Under no circumstance will tents be allowed to set up on the Event Day or outside these specified times.
  8. Upon arrival at the venue on Saturday, please contact the Operations Manager or the Event Manager to confirm your site position.
  9. The tent is to be erected in the position allocated by SuperSprint.
  10. Vehicles will NOT be permitted to drive onto the venue. Equipment is to be dropped off and walked into the venue.
  11. The Maximum tent size permitted is 6m × 3m. (Consideration will be given where this isn’t possible or for larger groups)
  12. All tents are to be secured to the ground using star pickets (4ft – 6ft & a minimum of one per tent leg) driven at least 30cm into the ground and fastened to the tent with Cable Ties & or Ropes. TENT PEGS ARE NOT ADEQUATE. The Club is to supply all equipment required to erect, secure and dismantle the tent – SuperSprint are unable to supply this equipment.
  13. Star pickets must not be inserted into the ground within 0.5m of any underground services. These areas are marked by painted lines on the ground. If unsure, please check with the Operations Manager or Event Manager, as any damage resulting from not adhering to this guideline will be at the cost of the Club.
  14. Club sponsor signage is only permitted if it is small in size (less than 1m square) and does not conflict with any event sponsors – prior approval from the Operations Manager is required.
  15. If weather conditions are such that the Race Director deems it unsafe for tents to be erected, they must be taken down immediately when requested by the Race Director, Events/Operations Manager or any authorised SuperSprint staff member.
  16. At the conclusion of the event all rubbish must be placed in the bins provided and care must be taken that all star pickets have been removed from the ground.
